Privacy policy.

What we collect, what we don't, and what we do with the information you share when you visit our site, call our office, or book a service.

The short version

We collect the information we need to do our job: schedule your service, dispatch a tech, send an invoice, and follow up. We don't sell it. We do use standard analytics and advertising tools from Google and Meta to measure which ads and pages work, and this page explains exactly what they see.

  • We collect contact info you give us (name, address, phone, email).
  • We use it to provide service and stay in touch about your equipment.
  • We don't sell or rent your information to anyone.
  • You can ask us what we have, ask us to correct it, or ask us to delete it.

What we collect

Information you give us

When you call our office, fill out a form on this site, or book a service, we collect what you tell us, name, address, phone number, email, equipment details, and a description of the issue. If you pay by credit card, our payment processor handles the card number; we don't store it.

Information your browser shares

Like most websites, ours logs basic technical information when you visit: IP address, browser type, pages viewed, and how you got here. We use this to keep the site working and to understand which content homeowners actually find useful. We don't tie it to your name unless you fill out a form.

Cookies and analytics

We use Google Analytics to count visits and see which pages help homeowners find what they need, and Cloudflare Web Analytics, which sets no cookies, to measure site speed.

We also use advertising tools: the Meta Pixel (Facebook and Instagram) and the Google Ads conversion tag. These use cookies to tell us whether an ad led to a call or a booking, and they let Meta and Google show our ads to people who have visited our site. That means you may see a Clear the Air ad on Facebook, Instagram, or Google after visiting.

You can limit this in your browser's cookie or tracking settings, with an ad blocker, or through Google's ad settings and Meta's ad preferences.

Advertising measurement

When you book through one of our forms, we may send Meta and Google a hashed (scrambled, one-way encoded) copy of your email address and phone number so they can tell us whether one of their ads led to the booking. We may also share hashed customer contact lists with them so our ads reach past customers or skip people who are already customers. They receive identifiers only, never your service history, equipment details, or payment information, and their terms don't allow them to use the data for anything other than our ads.

Spam protection

Some forms use Cloudflare Turnstile to block automated spam. It checks your browser, not your identity.

Call recording

Calls to our office may be recorded and transcribed for quality and training, and some calls, texts, and website chats are first answered by an automated assistant that hands off to our team. If you'd rather not be recorded, say so at the start of the call, or reach us through our contact form instead.

Text messaging (SMS)

If you check the SMS consent box on one of our forms, or verbally opt in on a call or with a technician, you agree to receive appointment, service, and follow-up text messages from Clear the Air Cooling & Heating at the number you provide. Message frequency varies and message and data rates may apply. Reply HELP for help or STOP to opt out at any time. Consent is not a condition of any purchase, and the SMS consent checkbox is optional.

Your mobile information will not be sold or shared with third parties for promotional or marketing purposes. We do not share your mobile opt-in or consent data with anyone except the messaging providers that deliver the texts on our behalf, and they are not permitted to use it for their own marketing.

How we use it

  • To provide service. Schedule appointments, dispatch technicians, send invoices, and warranty your work.
  • To follow up. Send tune-up reminders, check that a repair is holding, and let you know if a part on your system is part of a manufacturer notice.
  • To improve our work. Read the reviews you leave, learn from complaints, and train our techs on real situations.
  • To meet legal obligations. Keep records the State of Texas requires for licensed HVAC contractors (TACLA32678).

What we don't do

  • We don't sell your information. Not to data brokers, not to lead resellers, not to anyone.
  • We don't give advertisers your name, address, or service history. Ad platforms only receive the hashed identifiers and cookie data described above.
  • We don't share your information with lenders unless you apply for financing.
  • We don't text you marketing messages unless you ask us to.

Who sees your information

Inside our company, your information is visible to the people who need it: dispatchers, technicians assigned to your job, the office staff who handle billing, and ownership. Outside our company, a few service providers see narrow slices of it:

  • Our scheduling and CRM software. Stores your appointment and service history. Industry-standard security, hosted in the U.S.
  • Our payment processor. Handles credit-card transactions. PCI-DSS compliant. We don't store the card number.
  • Our financing lenders. Only if you apply for financing on a new system, and only the information you give them on the application.
  • Google Analytics and Cloudflare. Traffic and site-performance data.
  • Meta and Google Ads. Cookie data and hashed contact identifiers, used to measure and target our ads as described above.
  • Our email, phone, and chat providers. They carry our messages, calls, and chats and store them on our behalf.

We don't share your information for any other purpose unless we're legally required to (court order, subpoena, or a regulator with jurisdiction).

Your rights

Texas residents and any homeowner doing business with us can ask us, at any time, to:

  • Tell you what information we have on file about you.
  • Correct anything that's wrong.
  • Delete your information, subject to records we're required by law to keep.
  • Stop sending you tune-up reminders, marketing emails, or text messages.

Send a request through our contact page or call our office. We'll respond within 30 days.

Children

Our services are sold to homeowners and property managers. Our website isn't directed at children under 13 and we don't knowingly collect information from them. If you believe a child has submitted information through our site, please contact us and we'll delete it.

Changes to this policy

If we change how we handle information, we'll update this page and change the effective date in the badges above.
